Role Overview

The Personal Assistant (PA) plays a vital role in supporting executives by managing schedules, coordinating meetings, and handling communications. The PA acts as a liaison between the executive and other staff members, ensuring information flows seamlessly throughout the department and that strategic objectives are met.

Roles & Responsibilities

  • Calendar Management

    Efficiently organize and prioritize appointments, meetings, and events for the executive. Ensure optimal time management by scheduling, rescheduling, and confirming commitments.

  • Travel Coordination

    Plan and arrange domestic and international travel itineraries, including flights, accommodations, and transportation, ensuring seamless travel experiences and adherence to budgets.

  • Communication Handling

    Act as the first point of contact, handling phone calls, emails, and other correspondence efficiently. Prioritize and escalate communications as necessary to ensure swift responses.

  • Document Preparation

    Draft, edit, and proofread reports, presentations, and correspondence. Ensure accuracy and confidentiality while preparing documents for various business needs.

  • Office Management

    Manage office supplies and equipment, ensuring the executive's workspace is well-organized and equipped. Liaise with vendors for necessary office procurements.

  • Event Coordination

    Plan and execute corporate events, including meetings and social gatherings, from inception to completion. Ensure all logistical requirements are met for successful events.

  • Project Assistance

    Support the executive by conducting research, gathering data, and preparing project briefs. Assist in the follow-up of project deliverables to ensure timely completion.

  • Expense Management

    Track and manage expenses and budgets related to the executive’s activities. Prepare monthly financial reports and ensure compliance with organizational financial policies.
