The Receptionist serves as the first point of contact for visitors and clients, representing the organization with professionalism and courtesy. Roles & Responsibilities

  • Managing Phone Calls

    Efficiently answer and direct incoming phone calls, providing accurate information or redirecting to suited departments, ensuring effective communication for a positive caller experience.

  • Scheduling Appointments

    Coordinate and manage appointments for staff and clients, ensuring all bookings are recorded accurately in scheduling software and convey scheduling changes promptly to relevant parties.

  • Handling Mail and Deliveries

    Receive and distribute incoming mail and deliveries promptly. Organize outgoing correspondence, ensuring timely dispatch of all packages and letters to appropriate stakeholders.

  • Maintaining Reception Area

    Keep the reception area tidy and welcoming. Regularly update informational materials, ensuring all areas are neat, professional, and ready to receive visitors at any time.

  • Administrative Support

    Provide administrative support to staff, including filing, data entry, and document preparation. Assist with the coordination and preparation of documents for meetings.

  • Client Query Resolution

    Address and resolve general client queries or concerns in a professional and timely manner, escalating complex issues to appropriate senior staff when necessary.

  • High school diploma or equivalent required; additional certification in office management is a plus.
  • Proven experience as a receptionist or in a similar role, ideally 2+ years.
